Bespoke commission terms

Abespoke commission is a collaboration between you and us. These terms set out how we work together — what you can expect from us, and what we ask of you — so your commission moves forward smoothly.

The specifics of your commission — your name, dates, the piece, pricing, and payment breakdown — appear on your quotation. The terms below are the standing terms that apply to every bespoke commission.

What bespoke means at Vivian

Our work is offered at three levels.

Made to order — a piece from our collection with minor adjustments such as size or metal.

Design adaptation — an existing design adapted more closely to you.

Bespoke creation — an original piece designed from concept, beginning with stone selection and your story.

How we work together

Bespoke is not you placing an order and us following instructions. Nor is it us deciding everything for you.

You know what this piece means to you. We know how to make it real. Your input and direction shape the work, while design and structural decisions remain our responsibility.

Process and locking the design

Your commission moves through a concept sketch and CAD 3D modelling so you can see the piece before production.

Once you approve the design, the direction is locked and production begins. After this point, requests that change the core structure, stone setting, or design direction are considered a new design rather than a revision, and may involve additional cost and time.

We lock the design not to limit you, but to protect the quality of a piece that carries our name.

Revisions

Your commission includes (number) round(s) of design revision after the initial concept. Additional revisions are considered case by case, and we will always let you know in advance if any additional cost applies.

Timely feedback

To keep your piece on schedule, we ask for your feedback within (number) business days of each update. If responses take longer, the delivery timeline shifts accordingly, as your production slot and materials are reserved for you.

Design decisions

Final decisions on proportion, stone placement, structure, and overall balance rest with our design team, to preserve the quality and integrity of the finished piece.

Payment

Payment is made in two parts — a 50% deposit to begin design and secure your stones, and the remaining 50% on completion.

Your deposit reserves your production slot and holds your quoted price. The deposit is non-refundable, as stones and materials are sourced specifically for your commission.

We hand over your finished piece once the final payment is complete.

VIII

If you need to pause

If circumstances require it, your commission can be paused for up to (period) with written notice. If it is not resumed within that period, the commission is considered closed.

IX

Ending a commission

Either party may end the commission with written notice. You remain responsible for work completed to that point. Unfinished concepts and designs remain the property of Vivian.

Gemstones

We accept client-provided stones — many of our commissions begin with a stone you already own.

Where your own stone is used, we inspect its condition before accepting the commission and will inform you of any risk, such as fractures or fragility that may cause damage during setting. If you choose to proceed, we cannot be held responsible for damage arising from the stone's existing condition.

Stones sourced by us are guaranteed authentic and as represented.

XI

Craftsmanship guarantee and care

We stand behind our work — defects arising from our craftsmanship or structural integrity will be repaired or remade at no charge.

Not covered — normal wear and tear, resizing, damage from impact or misuse, and any piece altered or repaired elsewhere.

XII. Your agreement

By paying your deposit, you confirm that you have read and agreed to these bespoke commission terms.
